What information we collect
When you contact us
If you fill in our contact form, email us, phone us or message us on social media, we collect the details you give us, such as your name, email address, phone number, and details of the job or property you’re enquiring about.
When you become a customer
To quote for, carry out and sign off work, we may also collect:
- the address of the property where the work takes place;
- contact details for you, your tenants, managing agent or site contact, where needed to arrange access;
- photographs of doors, frames and work areas, and inspection, installation and certification records (for example fire door sign-off documentation);
- quotes, invoices and payment records.
We do not ask for, and ask you not to send us, sensitive information such as health details unless it is directly relevant to the work (for example, access requirements).
When you visit our website
Like most websites, our hosting provider automatically records basic technical information such as your IP address, browser type, the pages you visit and the date and time of your visit. This is used to keep the website secure and working properly. We do not use this to identify you, and we do not use advertising or analytics tracking on this site.
How and why we use your information
Under UK data protection law we must have a lawful reason to use your information. We use it to:
- Respond to your enquiry and give you a quote – because you have asked us to (steps before entering a contract).
- Carry out and complete the work you’ve booked, including arranging access, producing inspection reports and certification – to perform our contract with you.
- Keep records of fire door installations, inspections and maintenance – to meet our legal and professional obligations, and because it is in our and our customers’ legitimate interests to be able to evidence fire safety compliance.
- Send invoices, take payment and keep accounts – to perform our contract and to meet our legal obligations (for example, HMRC record-keeping).
- Keep our website secure and prevent spam – in our legitimate interests.
We will not send you marketing emails without your permission, and you can ask us to stop contacting you at any time.
Who we share your information with
We only share your information where necessary, with:
- Service providers who help us run our business, such as our website host (GoDaddy), email provider, accountants and IT support. They may only use your information to provide their service to us.
- The person or organisation who instructed the work – for example, if a landlord or managing agent books a fire door inspection, the report will be shared with them.
- Certification bodies, insurers or professional advisers, where needed to certify our work, handle a claim or get advice.
- Authorities such as HMRC, the fire service or the police, where we are legally required to.
We never sell or rent your personal information.
Third-party services on our website
Some parts of our website are provided by other companies, who may collect information about your visit under their own privacy policies:
- Google reCAPTCHA – protects our contact form from spam. See Google’s Privacy Policy.
- Google Maps – shows our location on the contact page.
- YouTube – plays embedded videos.
- Google Fonts – displays some text styles.
- Instagram and Facebook – we show some of our Instagram posts and link to our social media pages. See Meta’s Privacy Policy.
Some of these providers are based outside the UK (mainly in the USA). Where your information is transferred outside the UK, it is protected by approved safeguards such as the UK–US Data Bridge or standard contractual clauses.
Cookies
Cookies are small files stored on your device. We use:
- Essential cookies – needed for the website to work, for security, and to remember your cookie choice.
- Third-party cookies – set by the services listed above (such as YouTube, Google Maps and reCAPTCHA) when you use those features.
We do not use advertising cookies. You can block or delete cookies through your browser settings, although some parts of the site may not work properly if you do.
How long we keep your information
- Enquiries that don’t go ahead – up to 12 months, then deleted.
- Customer, job and invoice records – 6 years after the end of the financial year the work was completed, as required for tax purposes.
- Fire door installation, inspection and certification records – for as long as they may be needed to evidence fire safety compliance, normally at least 6 years after the work.
Keeping your information safe
We take appropriate steps to protect your information, including a secure (HTTPS) website, a website firewall, password-protected systems and limiting access to people who need it.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information (where we don’t need to keep it for legal reasons);
